Please read these terms carefully before using the Scan Yer Van service.

The short version
Plans renew automatically each month or year until you cancel; prices are on the Pricing page. Your first payment includes printing and posting your stickers. Cancel any time in your dashboard: you keep access to the end of the period you've paid for, and we don't refund part-periods. Stickers are made to order, so there's no refund once they've gone to print; they usually arrive in about 7–10 working days. Damaged, misprinted or won't scan? Send a photo within 14 days and we reprint free. Discount codes are single-use, tied to your email address, and come off your first payment only. Scots law applies. Problems: [email protected]. About these terms
These Terms & Conditions ("Terms") govern your access to and use of the Scan Yer Van website and service, operated by SCAN YER VAN LTD, a company registered in Scotland (Company No. SC858856, VAT No. GB 516 2573 96), with a registered office at 5 Longmorn Crescent, Elgin, Scotland, IV30 6GP ("we", "us", "our").
By creating an account or using the service, you agree to be bound by these Terms. If you do not agree, you must not use the service.
The service
Scan Yer Van provides UK businesses that use vehicles for their work — trades, services, deliveries, hire and more — with:
- Personalised QR code stickers for each of your vehicles. Each QR code opens a contact page where people can reach your business — by call, text, WhatsApp or email, or through your website and social links — or be sent straight to a page you choose.
- Physical QR code stickers, printed and posted to your delivery address after payment.
- Scan analytics — a dashboard showing when, roughly where, and how your QR codes have been scanned, and what people did next.
- Van Health — your vehicles' MOT and tax status, with email reminders before each is due.
The service is intended for UK-registered businesses only. You must be at least 18 years old and authorised to act on behalf of your business to create an account.
Accounts
- One account per business. You must provide accurate business information during sign-up.
- You are responsible for keeping your account secure. We use passwordless email authentication — login codes are single-use and expire after a short time.
- Notify us immediately via the contact page if you suspect unauthorised access to your account.
Subscriptions and payment
We offer three subscription tiers — Solo, Pro and Fleet — all billed monthly or annually and processed securely via Stripe:
- Solo — includes 1 vehicle, and up to 3 in total with extra-vehicle add-ons.
- Pro — includes 5 vehicles, and up to 13 in total with extra-vehicle add-ons.
- Fleet — includes 15 vehicles, and can be expanded in packs of 5 vans up to 50 vehicles online. Larger fleets by arrangement.

Automatic renewal. Your subscription renews automatically at the end of each billing period — every month or every year, whichever you chose — at the price then shown on our Pricing page, and we take payment from your saved card, until you cancel.
You may cancel at any time in your dashboard; access continues until the end of the period you have paid for, and we do not refund the unused part of a period. After that date your QR codes stop working. Your first payment also includes the one-time cost of printing and dispatching your physical stickers.
Discount codes. Codes we issue (for example to early adopters, to a business invited through the referral scheme, or when you ask us for one) are single-use, tied to the email address they were sent to, valid for 90 days unless the email says otherwise, and come off your first payment only. One code can be used per order.
All prices are displayed inclusive of VAT where applicable. Payment is taken at the point of checkout.
Refunds: Because your QR code stickers are personalised, we are unable to offer refunds once your order has been sent for printing. If your order has not yet been sent for printing and you change your mind, please contact us as soon as possible.
Your cancellation rights
Scan Yer Van is aimed at businesses. If you are buying as a consumer (for purposes wholly or mainly outside a trade, business or profession), you have a legal right to cancel under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013:
- 14-day cooling-off period — you may cancel within 14 days of entering the contract, without giving a reason.
- Starting the service early — if you ask us to begin (give you access to the service) during those 14 days, you agree that you lose the right to cancel once the service has been fully performed, and you'll be charged for what you have used up to that point.
- Personalised stickers — the right to cancel does not apply to physical stickers made to your specification once your order has been sent for printing.
To cancel, contact us via the contact page within the 14 days. Where the right applies and nothing has yet been performed or dispatched, we'll refund you within 14 days of being told. These statutory rights are in addition to the refund position above.
QR codes and stickers
- Your QR code opens your contact page, or the link you choose. You are responsible for ensuring your contact details and any link are accurate, appropriate, and remain live.
- QR code stickers are personalised physical goods. Once your order has been sent for printing, it cannot be cancelled or returned.
- When you replace a sticker, the old QR code keeps working for 21 days so there is no gap, and then stops.
- We retain the right to deactivate a QR code that redirects to content that violates these Terms.
- Do not apply stickers to vehicles you do not own or operate.
Stickers and printing
- Sizes. Stickers come in three sizes: Compact (A6), Standard (A5) and Large (A4). Your stickers are printed together on larger print sheets.
- Materials. Stickers are available in Standard and High-Vis (fluorescent) materials. Each fluorescent colour is a separate material and print run, so choosing different colours for different vehicles can cost more.
- Printing and delivery. Your stickers are printed by our print partner and posted to the delivery address on your account. Printing takes about 3–4 working days, and delivery usually follows within a few days after that, so most orders arrive within about 7–10 working days of being sent for printing. These times come from our print partner and can vary at busy periods. Please make sure your delivery address is correct before you order.
- Personalised goods. Stickers are made to order for your business, so they cannot be returned. See Refunds and Your cancellation rights above.
- Faulty or damaged stickers. If your stickers arrive damaged, misprinted, or with a QR code that does not scan, send us a photo within 14 days of delivery and we'll reprint them free of charge. There is no need to send anything back. This does not cover damage once the stickers have been applied to a vehicle (including wear, peeling, or removing and refitting them), or artwork you approved before printing — your wording, logo and colours. If you need the contact page to point somewhere else, you can change that any time in your dashboard without reprinting: your existing stickers keep working. We may ask for more detail where reprints are requested repeatedly for the same vehicle or order.
Referral scheme
If you are a paying subscriber, you can refer other businesses to Scan Yer Van with your own referral link, from your dashboard:
- Who can be referred. Other businesses only. You cannot refer yourself or your own business.
- What the referred business gets. When it signs up through your link, a single-use code for 10% off its whole first order, valid for 90 days.
- You share your link. Send it only to people you know who would want it. We do not contact anyone on your behalf, and you must not share your link by spam or in a way that breaks the law on marketing messages.
- What you get. 5% off your whole Scan Yer Van subscription — your plan and any extra-vehicle and van-pack add-ons — for each referred business that has paid for its subscription for 90 days in a row and is still an active subscriber, up to a maximum of 100% of your subscription. Sticker and delivery charges are billed as normal.
- If a referred business cancels. It stops counting towards your discount, and your discount is adjusted to match.
- Monthly subscriptions. Your discount is applied to your subscription and any change takes effect from your next billing date.
- Annual subscriptions. For each month a referred business is active, you build up 5% of one month of your subscription (your annual price divided by twelve, on the plan you have that month). The total comes off your next renewal, up to the full amount of that renewal. Anything built up that the renewal doesn't use is not carried forward, and nothing is built up for a referred business once it has cancelled.
- No cash alternative. Referral discounts, including amounts built up on an annual subscription, cannot be exchanged for cash or credit, or transferred, and only ever come off your own subscription.
- Changes to the scheme. We may change or end the referral scheme. We'll tell you before any changes take effect. A change to the rates doesn't alter the rate that applied when you joined the scheme.
Acceptable use
You must not use Scan Yer Van to:
- Link to illegal, harmful, fraudulent, or deceptive content.
- Impersonate another business or person.
- Attempt to reverse engineer, copy, or replicate the service.
- Circumvent security measures or probe the service for vulnerabilities.
- Upload or link to malware, phishing sites, or any content that could harm users who scan your code.
Violation of these rules may result in immediate account suspension and, where appropriate, referral to relevant authorities. Our full Acceptable Use Policy sets out the rules for business profiles and destination links, and how to report content.
Intellectual property
All content, software, and branding on the Scan Yer Van website is owned by or licensed to SCAN YER VAN LTD. You may not copy, reproduce, or redistribute any part of the service without our express written permission. Your business name, logo, and destination URL remain your own property.
Service availability
We aim to keep Scan Yer Van available at all times but cannot guarantee uninterrupted access. We'll endeavour to give advance notice of planned maintenance. QR code redirects are designed for high availability, but we cannot be liable for downtime caused by third-party infrastructure (including our hosting and infrastructure providers or your destination URL provider).
Limitation of liability
To the maximum extent permitted by law:
- We exclude all liability for indirect, consequential, or loss of profit claims arising from your use of the service.
- Our total liability to you in any 12-month period is capped at the fees you have paid to us in the preceding 3 months. If you are a consumer, this cap does not affect your statutory rights.
- Nothing in these Terms limits our liability for death or personal injury caused by negligence, fraud, or any other matter that cannot be excluded by law.
The service is provided "as is" without warranties beyond those implied by law.
Termination
- You may cancel your account at any time via the dashboard or by contacting us.
- We may suspend or terminate accounts that breach these Terms, without notice where necessary to protect the service or other users.
- On termination, your QR code will be deactivated and your account data will be handled in accordance with our Privacy Policy.
Data protection
We handle personal data in line with our Privacy Policy.
Anyone who contacts you after scanning your sticker does so directly — by phone, text, WhatsApp or email. We never receive those conversations. You are responsible for handling any customer details you receive lawfully and fairly, and for using them only to respond to that customer.
Complaints
If something has gone wrong, please tell us via the contact page or at [email protected]. We'll aim to acknowledge your complaint within 2 working days and to resolve it fairly and promptly. You can also raise a data-protection concern with the ICO (see our Privacy Policy). We are not a member of an alternative dispute resolution scheme; if we can't resolve a complaint, you may take it to the Sheriff Court under the Simple Procedure.
General
- Whole agreement. These Terms, together with our Privacy Policy, Cookie Policy and Acceptable Use Policy, are the whole agreement between us for the service and replace any earlier discussions. If they conflict, these Terms take precedence unless a specific policy says otherwise.
- Events beyond our control. We are not responsible for any failure or delay caused by events beyond our reasonable control — for example power, internet, hosting or other third-party outages, or acts of government.
- If part is invalid. If any part of these Terms is found to be invalid or unenforceable, the rest stays in force.
- Not enforcing a right. If we do not enforce a right straight away, that does not mean we have given it up.
- Transfers. You may not transfer your account or your rights under these Terms without our consent. We may transfer ours (for example if the business is sold), and may use trusted suppliers and subcontractors to help provide the service — this will not reduce your rights.
- Notices. We will contact you using the email address on your account, so please keep it up to date. You can reach us via the contact page or at [email protected].
- No third-party rights. Only you and we have rights under these Terms; no one else can enforce them.
Governing law
These Terms are governed by the laws of Scotland, and the Scottish courts will deal with any dispute. If you are a consumer living elsewhere in the UK, you can also bring a claim in your local courts, and you keep the protection of your local consumer law.
Changes to these Terms
We may update these Terms from time to time. For minor changes (such as clarifications or contact details) we'll update the "last updated" date above. For material changes, we'll give you reasonable advance notice by email or a prominent notice on the site before they take effect; if you don't agree, you're free to cancel before then, and continuing to use the service after that date means you accept the revised Terms.
